Within an organization, a document controller is in charge of managing and organizing documents, files, and records. They make sure that documentation is handled accurately and effectively at every stage of its lifespan, including generation, distribution, retrieval, and archiving.

Responsibilities

• Establish and manage a standardized, well-organized document control system that includes version control, file naming guidelines, and file structures.
• Ensure that papers are received, reviewed, and processed in accordance with established practices and formats.
• To guarantee consistency, accuracy, and comprehensiveness of information, establish and enforce document control procedures.
• Ensure easy document retrieval and accessibility by maintaining document databases and electronic filing systems.
• Coordinate the dissemination of documents, monitor their status and development, and take action when submissions or approvals are late.

Requirements

• High school diploma or its equivalent, preferably a bachelor’s degree.
• Demonstrated expertise in administrative positions relating to document control.
• Familiarity with software and document management systems.
• Excellent precision and attention to detail while managing and organizing documents.
• Outstanding time management and organizational ability to handle various tasks and meet deadlines.
